Key Accountabilities

  • Job posting & interview scheduling

  • HR documentation and filing

Key Responsibilities

Human Resources

  • Issuance of HR documents (offer letter, confirmation letter, warning letter, etc).

  • Assist with HR paperwork filing, payroll calculation, and monthly claim.

  • Maintain job and internship openings on Jobcast. Place job posting/advertisement on job portals as requested by Head of Departments or CEO.

  • Arrange appointments with job interviewees and handle the interview process in the office.

  • Maintain a steady pipeline of interns and contact universities and colleges for internship placement.

  • Onboarding and offboarding employees and interns.

  • Monitor employees attendance.

Office Administration

  • Arrange and follow up with vendors (despatch services, printers, the accounting company, systems admin outsource, etc) on services and payments.

  • Run office errands (purchase stationery, POS office errands, etc) either online or physically.

  • Paperwork and filing.

  • Answer phone calls to office number or forwarded calls from Candyholic’s mobile numbers.

  • Reception (serving drinks to guests).

  • Prepare payments (online, check or cash) and enter payments into the accounting system in a timely manner.

  • Verify client's payment received in our bank and enter into accounting system in a timely manner.

  • Assist accountant in accounting related data entry and filing.

  • Assist with vendor registration and compile relevant documents.

PA to CEO

  • Assist the CEO with his personal tasks.

Requirements

  • At least three years of HR and admin experience.

  • Able to communicate in English and BM.

  • Good handwriting.

  • Internet literate.

  • Resourceful

Software Skills

  • Proficient in documents and spreadsheets software (Microsoft Office or OpenOffice).

KPIs

  • Longest Overdue payments (in days)

  • List of Excellence (in %)

  • Utility Downtime (in working hours)

  • Office Expenses (in RM)
