Description

This position serves as the primary receptionist for the agency. Enters data, typing and formatting assignments on computer as directed and prioritized by supervisor and Executive Director. Also provides backup secretarial support to Executive Assistant as needed. Maintains appearance of WST foyer, showroom, and gift shop. Invoices awards, handles customer pickup, shipping, and payments. Assists other departments as requested by supervisor. Handles highly sensitive information for the Agency, must maintain total confidentiality.

WAGES: $15.00/Hr.

QUALIFICATIONS:

  • High School Diploma or High School Equivalency (G.E.D., HiSET, TASC)
  • Strong computer skills.
  • Good working knowledge of general clerical duties and business procedures.
  • Good working knowledge of filing, both computer file structure and hard filing.
  • Courses or seminars in reception, secretarial and other related classes are desirable.

HIRING REQUIREMENTS:

  • Must be 18 years old or older
  • Must have a valid Oklahoma Driver's License
  • Must be able to pass OSBI, MVR, DHS Registry Check and any other background check, as agency is required or deems necessary.

  • Proficient in organizational skills and able to handle multiple assignments according to priorities and deadlines and maintain accurate records. Ability to multi-task.
  • Good attention to detail and proofreading skills
  • Effective communication skills including good grammar and spelling ability and ability to take minutes
  • Must have regular and punctual attendance
  • Must be able to make quick and logical decisions
  • Good working knowledge of general clerical duties and business procedures
  • Ability to maintain professional confidentiality. Handles highly sensitive information for the department, must maintain total confidentiality.
  • Presents a positive reception and customer service image.
  • Must be able to maintain composure during emergency situations, as outlined in policy.
  • Must be able to efficiently manage work in multiple buildings as assigned for coverage.
  • May be required to drive agency vehicle for food pickup or other administrative task(s).

PHYSICAL REQUIREMENTS:

  • Work is performed in an office environment and requires sitting for prolonged periods of time using a computer keyboard and screen and phone system.
  • The position requires standing, walking, twisting, reaching, bending, crouching and kneeling. May also grasp, push, pull, drag and move boxes of files and other office items weighing 25 pounds or less.
  • Must have mobility, vision, hearing, and dexterity levels appropriate to the duties to be performed.

NOTE - Staff will be counseled for failure to adhere to maximum weights or for non-use of required Safety Equipment.

JOB CONDITIONS:

Normal working hours are Monday through Friday from 8 a.m. to 5 p.m. with one hour for lunch. Two 15-minute breaks as scheduling allows.

This position may occasionally require you to work outside normal WORKING hours for Administrative or Board of Director purposes.

This position is non-exempt and receives overtime pay at one- and one-half times the regular rate of pay for all hours worked over 40-hours in a workweek beginning Saturday 12:00am through Friday midnight.

This position is classified under Excluded Remote Work Designation – less than 10% of job functions can be typically completed remotely based on a 40-hour per week work schedule. Not eligible for remote work designation

AGENCY RESPONSIBILITIES:

  • Must have knowledge of DRTC's Mission and Philosophies.
  • Must be familiar with all DRTC policies/procedures and organizational structure of the agency, including all agency safety and emergency procedures.
  • Uses agency tools and procedures to ensure organization and consistency

RESPONSIBILITIES – ESSENTIAL FUNCTIONS:

  • Reception of all guests, signing in at WST main campus entrance and notifying staff. Responsible for positive and efficient reception of guests.
  • Initial contact, telephone, and walk-in, for DRTC Awards/Promo/Framing customers and vendors.
  • Assists customers with picking-up orders in WST. These include walk-in, phone calls and emails.
  • Responsible for receiving payment for completed orders, shipping and invoicing for agency.
  • Responsible for agency phone calls; ensures that calls are handled correctly and efficiently and that calls are taken and directed to correct personnel and/or distribute messages to staff.
  • Provides secretarial support to key management.

ANCILLIARY FUNCTIONS:

  • Notifies customers of finished orders.
  • Enters orders for DRTC Awards as needed
  • Processes orders for the Online Store
  • Copies and distributes documents, minutes and newsletters, as directed
  • Monitors Agency bulletin boards. Adds/Removes postings as needed/directed.
  • Other duties as directed or assigned
